Affiliation

You can now affiliate your club online through the Whole Game System (WGS).

 

You apply through the Whole Game System using your email address and password. If you have forgotten your password, you can re-set it via the ‘forgotten my password’ link on the log in page.

Once you have logged in you will see your Club Dashboard. If you have different roles in the game, you can navigate between the roles using the tabs at the top of the screen. Choose the applicable club tab.

 

You then need to select the button labelled Affiliation 2022-23 from the channel on the left of the screen.

 

The affiliation application has 8 steps to complete:

 

Step 1 – Agree the Terms and Conditions

 

Step 2 - Club Officials - Assign new season's officials

  • Add the mandatory roles for the club (Secretary, Chairman, Treasurer, Welfare Officer).
  • You will need their FAN number.


Step 3 – Club Grounds

  • Enter details for all the (home) grounds that the teams in the club play at (try to be as accurate as possible in terms of where each individual team will be playing).
  • You can search by city/postcode or click on the + icon to manually add a location in (please avoid adding a duplicate site and if you are unsure, please visit  https://pitchfinder.org.uk to search for sites.  If you have any problems, please contact the County FA).

Step 4 – Teams and County Cup Entries

  • Add or remove teams, team officials, and enter teams into County Cup Competitions.
  • For youth teams and development groups (i.e., where the age group is Under 18 or below) a Manager or Coach must be named.
  • Managers and Coach (including assistants) attached to youth teams and development groups MUST also hold an In-date, FA accepted, Disclosure and Barring Service (DBS).
  • In this step you will select which league the team(s) will play in.

Step 5 – Supporting Documentation

  • Select to purchase Public Liability Insurance for your club.
  • Select to purchase Personal Accident Insurance for each registered team.
  • You can also upload a copy of your profit and loss account here if you wish (it is optional).
  • You can upload evidence of compliant insurance here if you have chosen to purchase it from another provider.

 

Step 6 – Purchases

Select how many of each insurance product you require.

Remember – You only need 1 x Public Liability for the club. You require 1 x Personal Accident Policy for EACH TEAM in the club.

The Club Fee is determined by a club’s highest-ranking team.

 

Additional Fees Include


Insurance

  • All CLUBS must have Public Liability Insurance cover for a minimum of £10,000,000 (10 million).
  • All TEAMS must have Personal Accident Insurance which covers each of the registered players.

 

Clubs can purchase both types of insurance via the WGS website as part of the affiliation process. The insurance provider is Sportsguard.
